Celebration groups have one thing in common: wildly different riding confidence in the same party. Plan for that and the day works. Ignore it and someone spends an hour being rushed or bored.
Split by confidence, not by friendship group
The single most effective planning decision is to let the guides split the party by riding confidence rather than by who arrived together. Nervous riders get a slower route and more coaching; confident riders get the steeper lines. Everyone regroups at the photo stops.
Numbers, permits and spectators
Permits are per person entering the reserve, not per rider, so count the people who are only coming to watch and photograph. Confirm final numbers as early as you can — permits are limited daily and a last-minute addition is not always possible.
What the reserve allows
This is a conservation area. Nothing may be left behind, open flames are not permitted, and glass is a bad idea on sand. Small, packed-out celebrations are fine; a full picnic setup with decorations is not the right fit here.
