Cancellation Policy

Plans change and the weather on the West Coast changes faster. This policy explains what happens when a booking is cancelled, by you or by us.
Cancelling or rescheduling your booking
Tell us as early as you can, in writing, by email or WhatsApp. Rescheduling is free where notice is given at least 48 hours before your departure time and an alternative slot is available.
Cancellations made less than 24 hours before departure, and no-shows, may forfeit amounts already paid, because the reserve permit and the guide slot have already been committed.
Reserve permits
Reserve permits are issued and priced by the Witzands Aquifer Nature Reserve. Where a permit has already been issued for your booking, that portion may not be refundable to us and therefore may not be refundable to you.
Cancellation by us
We cancel only where riding would be unsafe or where the reserve is closed — high wind, poor visibility, fire risk or an instruction from the reserve authority.
If we cancel, you may reschedule at no cost or receive a refund of amounts paid to us, in line with the refund policy.
Late arrival
Departures run to a schedule so that groups do not overlap on the dunes. If you arrive late we will do what we can, but riding time may be shortened and no refund is due for the shortfall.
Group and corporate bookings
Group bookings are planned around confirmed headcounts, guides and permits. Cancellation terms for groups are set out in the written quotation and take precedence over the standard notice periods above.
